How do I create a service log?

How often do I need to submit my service logs?

On a weekly basis. If you do not have internet access every week, please submit your service logs as frequently as possible.

Who do I call if I have a question about my service logs?

Please contact your SCA program representative.

What should I do if I made a mistake on a log I’ve already submitted for approval?

Email the Service Log ID# to AmeriCorps@theSCA.org and request to have service log reopened.
Do I have to print something out?
If you are enrolled in the AmeriCorps Education Award Program, you will print a timesheet and have it signed and submitted to SCA at the end of each month. Instructions are in the SCA Service Logs Guide [http://www.thesca.org/serve/service-logs-guide]. Non-AmeriCorps members do not have to print anything.

What if my service activity isn't listed under "What You Did"?

Please mark "Other activity" and tell us what you did.

Should I enter hours for vacation or sick time?

No. Enter only service or training hours.

If I'm serving as part of a team, what should I put under "How much you did"?

Report how much you personally completed. For example, if your 5 member team spoke with a class of 20 students, each person on the team would enter "4".

If I clear weeds along a trail, how do I report that in acres?

Use your best estimation.

If my project will take more than one day to complete, what should I put under "How much you did"?

For projects that take more than one day, under "How much you did" enter "0" for each day until the project is completed.

If I do something more than once, what do I put under "How much you did"?

If you perform service on the same area or with the same people already reported on a previous service log, enter "0" under "How much you did" if you repeat the same activity already reported, for example, reweeding a previously weeded field.

What if I don't have access to the internet to complete service logs?

Contact your SCA program representative.

What does "draft" mean?

You’ve started the service log but it hasn’t yet been submitted to SCA. Service logs in “draft” can still be edited.

What does "approved" mean?

SCA has received your signed printed timesheet. For members not enrolled in AmeriCorps, all service logs will be automatically approved.

What does "rejected" mean?

The service log has been sent back to you to be revised and resubmitted for approval.

What does it mean to “submit for approval”?

This sends the service log to SCA.
When I log into my SCA account I don’t have any placements.
Make sure you’re logging into your account using your most recent Conservation Internship or Corps username. This is the username you used to apply to your current position. If you’ve forgotten your username, follow the steps on the login page.

The following applies only to AmeriCorps members:

What does "submitted for approval" mean?

This is applicable to AmeriCorps members only. The service log entry is awaiting receipt of an approved signature from the supervisor.

Who is approves the service log?

Non-AmeriCorps members have their service logs automatically approved. AmeriCorps members will need to have their service logs printed, signed by their supervisor, and submitted to SCA at the end of each month.  At the end of each month, click the "Timesheets" tab, then click "Print Timesheet". Once the paper timesheet signed by your supervisor has been received by SCA, the service log will be marked as "Approved". 

Why do AmeriCorps members still need to submit paper service logs when they are already entering their hours electronically?

It is federal requirement that AmeriCorps members have their service hours certified by both the member and their supervisor. Because the system currently is not set up for a supervisor to approve the hours online, AmeriCorps members are still required to submit the paper "Timesheet" printout monthly.

How do I get my hours approved for AmeriCorps?

At the end of each month, click the "Timesheets" tab, then click "Print Timesheet". Have that sheet signed and submitted to SCA.
When I click “Print Timesheet” all of my logs don’t show up.
Only logs that have been “submitted for approval” will appear in your printed timesheet. Check to make sure that your logs aren’t still in “draft” or have already been approved.

How often do I need to submit signed service logs ?

At the end of each month.

How do I submit signed service logs?

Submit the signed by fax to (888) 488-6838, as a scanned attachment to AmeriCorps@theSCA.org, or by mail to PO Box 550, Charlestown, NH 03603.

How will know that the SCA office has received my signed service logs?

Your service logs will be marked as "Approved".
